Setting Up a Workflow with the Draft Element

Users with an Enterprise Premium license can use the draft element. This element can be found under the action elements. With the draft element, you can create a workflow of different forms.

Automatically Share Drafts

From Incontrol, the user starts a new draft and fills in the requested information. When the user finishes and completes the draft, a new draft of a pre-selected form is automatically prepared.

The draft element is integrated into the form. Once activated upon completing a draft, it will ensure that a new draft is prepared and shared.

Integrating the Draft Element into Your Forms

In the Form Builder, you can find the element under action elements. Once you have added the element, you will have the option to edit it. Here you can provide a label and text for the element.

Selecting a Form

Under 'Form,' select the form for which you want a new draft to be prepared upon completion of the current form. For example, if you are working in form X and want a draft of form Y to be prepared automatically upon completion, then select form Y under 'Form.'

Selecting a Recipient

Under 'Share the new draft,' you can specify who will receive the new draft.

  • If you choose 'Document creator,' the new draft will be prepared for the same person who owns the original form X. You will now have the option to include a message for the recipient. This message will be sent via email to the document maker.

  • If you choose 'Email address,' the user can decide who will receive the new draft. Here you can provide background text, a default value, and a message.

  • Lastly, you can choose 'Read-only email address.' This ensures that the draft is sent to the specified email address by default. Enter the email address under 'Value' and optionally include a message.

Automatically Transferring Data

Besides preparing a new draft, it is helpful if certain data from Form X is transferred to Form Y. This can be easily managed using aliases. Read more about using aliases here.

If both Form X and Form Y have an input element with the same alias, the new draft for Form Y will be automatically filled with the corresponding data.

 

Tip 1: Incorporate the draft element in a dynamic content to quickly prepare a new draft for multiple people. This is useful for surveys.

Tip 2: Place the draft element after a subform. Ensure that a draft is only prepared when the subform is shown.

Tip 3: Include a label and text in the draft element and set it to hidden in the output so the user knows what action will occur after completing the draft.
