How does the team element work?

If you have a Premium license or higher, you have access to the teams functionality. You can read more about this in the article on managing security groups and teams. Using the team element, you can let the end user select a team. A document can then be automatically shared with all team members. Additionally, using the alias, you can easily assign cases to the selected team.

Explanation

Below are the steps for setting up the team element:

  1. Log in via the web environment of Incontrol.
  2. Open a new or existing form in the Form Builder.
  3. Add the team element to your form.
  4. For the general settings of the element, please refer to this article.
  5. Under 'Input mode,' you can select two options:
    1. Choose 'User input' if you want the end user to select a team.
    2. Choose 'Read-only team' if you want to select the team from the Form Builder (the end user cannot change this later).
  6. If you choose 'Read-only team,' you will have the option to select a team.

  7. If you choose 'User input,' you will see additional options.

    1. You can specify a 'Placeholder' which is helpful for the end user to understand what is expected.
    2. You can indicate whether the element is mandatory for the end user to fill in.
    3. You can provide a couple of filters for the element so that the user does not see all teams.
      1. By default, the user sees all teams within the organization.
      2. Check 'Only show teams where the user is a member' if the end user should only see the teams they are a member of.
      3. Check 'Only show teams where the user can add cases' if the end user should only see the teams where they can manually add a case.

      4. If you check both, the user will only see the teams they are a member of and where they can manually add cases.
    4. You can choose to share the document with the selected team.
      1. You can also send an email to the team members.
      2. You can optionally compose a message to be sent to the team members. In this message, you can also use aliases.
    5. In the 'Settings' of the element, you can also give the element an alias so that you can reuse the value later in your forms.

    6. Press 'OK' when you are done.

The end user

When the end user selects the element from the form during inspection, they will receive a list view of the available teams to select from.
