Request tokens are available starting with a premium subscription and can be used to create drafts based on a token, URL, or QR code.
Would you like to use a QR code to create drafts? Or prefill certain data in your drafts? These and more are possible with request tokens.
Creating a request token
- In the browser, navigate to 'Organization'.
- Then, select 'Request Tokens'. Here, you can also find any previously created request tokens.
- Add a new request token using the '+' button at the bottom right.
- You will now see the following screen:
- Name: Enter a name for the request token in the green bar. This name will appear in the list of request tokens.
- Request Token Field: This name will also be part of the request token's URL and used within the app to call the token (see the section "Using a request token").
- Note: This cannot be changed after saving.
- Form: A new draft will be created based on this form.
- Owner: Decide who will own the new draft created via the token, URL, or QR code. There are three options:
- The logged-in user, if they have access to the form; otherwise, do not allow.
- A draft is only created if the logged-in user has access to the form. Otherwise, no draft will be created.
- The logged-in user if they have access to the form; otherwise, create a shared draft.
- A draft will always be created. If the user has form access, they become the owner. Otherwise, it becomes a shared draft owned by the 'shared draft owner'.
- Select 'Allow users outside of this organization' if users outside of your organization should be able to use the token to create a draft.
- Always a shared draft:
- The owner is always the 'shared draft owner'.
- Select 'Allow users outside of this organization' if users outside of your organization should be able to use the token to create a draft.
- The logged-in user, if they have access to the form; otherwise, do not allow.
- Default values: When a draft is created via a request token, predefined values can be filled automatically. For example, you can create a token for a customer to start an inspection form and prefill their details. To do this, specify an alias and a value. The alias determines where the value will be filled in.
- When you're finished, save the request token using the button at the top right. A URL and QR code will be generated based on the value entered for the request token field. Click on the QR code to download it.
Using a request token

If you share the URL with someone and they open it, they will see the following screen:
Depending on the settings and the user's access to the form. A draft or shared draft will be created. If the user lacks access and the "The logged-in user if they have access to the form; otherwise do not allow" option was selected, no draft will be created.
QR Code
The QR code can be scanned with a phone or tablet, which will redirect the user to the same URL. The same screen as above will appear, allowing them to start a new draft. The QR code can also be scanned in the app (currently for iOS only; Android support is coming soon). Navigate to "Forms" and click the circle with three dots at the top. Select "Scan Code" to scan the QR code.
Token
The token can be used directly in the app (currently for iOS only; Android support is coming soon). In the menu at the bottom, click "Forms". At the top, next to the logo, click the circle with three dots. Select "Enter Token". Enter the token (e.g., test_token) to create a new draft.
Note: Creating a new draft may take a few seconds.
