Importing Data from Microsoft OneDrive: Excel Online

When forms are filled out, there are always fields where the data is already known within the organization. By importing this data via an Excel document into Incontrol, you can easily add it to the form. Use this element in your form to link the connector to the form, eliminating the need to fill in the fields repeatedly.

Adding a Connector

  1. In your browser, go to the organization in Incontrol.
  2. Select 'Connectors' from the menu.
    1. If you have a Basic license, you do not have access to data sources. By upgrading to Professional or higher, you will gain access.
    2. If your organization has a Professional license or higher but you cannot see data sources, you do not have rights as a user. Contact your organization administrator of Incontrol to gain access.
  3. Add a new connector via the ‘+ button’ at the bottom right.
  4. Choose Microsoft OneDrive and next Excel
  5. You will enter the screen where you can add an Excel file.
    1. In the green bar at the top, you can name the connector. We recommend using the following method: [creation date connector, creator connector, function connector]. This way, you maintain an overview of your data sources.
    2. Microsoft account: You need to link a Microsoft account associated with the Excel file. Click the field to choose from existing linked accounts or to link a new account.
      1. If you need to link a new account, you will be asked to grant access. If you do not, it will not be possible to link the account or use this functionality.
      2. To remove an existing account, follow these steps:
        1. Click on ‘My settings’ in the bottom left menu bar.
        2. Click ‘Edit’.
        3. Click ‘Cloud accounts’ in the left-hand menu bar.
        4. Here you can add, test, and remove existing Cloud accounts.
    3. Drive item ID: Select the Excel file you want to import.
      1. Click the magnifying glass on the right side of this field.
      2. Type the name of the Excel file you previously created and press the blue button with the magnifying glass. (You can search through the Microsoft account you have linked.)
        Note: searching for parts of words might lead to the Excel file not being found. Example: if the file is names 'Template Store', try searching for 'Template' or 'Store'.
      3. Select the Excel file from which you want to import data by clicking on it.
    4. Table: Choose the table from which to import data in your Excel file.
      1. Press the gray button with the magnifying glass to search through the Excel file.
      2. Press the blue button with the magnifying glass to see all available tables.
      3. Select the table you want to use.
    5. Match column: Select the column to use in the concept to retrieve data.
      1. Press the gray button with the magnifying glass to search through the Excel file.
      2. Press the blue button with the magnifying glass to see all available columns.
      3. Select the column you want to use.
    6. If you want users outside the organization to access this connector in the concept, check the option ‘Allow shared drafts to access this connector’.
    7. Click ‘Save’ via the disk icon in the top right once the above information is correct.

Form Builder

Create various input elements in your form, where the aliases of these elements match the aliases in your connector. To import data from a connector, you need the import connector element. You can find this under ‘Import’.

Element

Label
Optionally, you can give the element a title. This title can be filled using aliases and/or calculations.


Text
Here, you provide text that can be edited. It can be filled using aliases and/or calculations.

Datasource
Select the connector.

Placeholder
You can give the button that users press to import data a text. This can be filled using aliases and calculations.

Settings
You can change the appearance of the element.

Explanation for the User

As a user, you can press the import button. Then, you first fill in data and press search. The available options are displayed. Select the correct one, and the data is automatically imported. A working internet connection is required for this.

 

Update: It is now also possible to make an import element mandatory, so the user must always import something before they can complete the form. You can find this option under settings via the element itself.
