How can I assign 'my draft' to another user?

If you have prepared a draft and someone else needs to finalize it into a document, it is possible to assign the draft to another user.

In Incontrol, when you assign the draft to another user, he/she can continue to finalize it. The new owner will then also receive the final document (via 'My Documents'). If you, as the original owner, want to receive the completed document (for instance the PDF), you must share the draft with another user. Read more on how to do that in this article.

Switch owner

With Incontrol it is not possible to work with more than one person at a draft. When you have prepared a draft, it is possible to assign this draft to another user your organization. To change the owner of a draft via the web, you must click on the “concept information” button at the top right of a concept.Concept informatie - En

Go to 'General' and then 'Owner'. Here, you can change the owner of the draft.

Note: You can only assign a draft to another user within the same organization. It might be that the person you want to make the new owner is not listed here. Security groups

Through a 'Security Group', forms and users can be linked. When a user is linked to a security group, the user can see and complete all form templates belonging to this security group. When you are going to assign a concept to another user, this user must also be linked to the security group to which the form (template) belongs. To check or modify this:

  1. Go to Incontrol's web environment.

  2. Log in, as an organization administrator, with your login credentials.
  3. Navigate to the 'Organization' section.
  4. Go to 'Security Groups' under the heading 'Groups'.
  5. The page will display a list of all available 'Security Groups'. Select the appropriate group or create a new one by pressing the blue plus button at the bottom right.

Leden en gebruikers-EnIn the 'users' section, select which users you want to add to the security group. In the 'Forms' section, select which forms you want to add to the security group. In this way you link users to your forms through security groups. After this step you can also change the owner to one of the users you selected in the security groups.

 

Teams

Teams, similar to 'Security Group', is only available with a Premium license and is additional used to manage 'Cases'. In 'Teams', it is also possible to connect forms to certain users. This is done in the same way as it is done for 'Security Groups'.
