How to give multiple users access to completed documents?

You can automatically share documents from one or more forms to all users within a security group.

Link forms to a group

To get started, you need an "existing" or "new" security group. You can create one by logging into the website and navigating to "Organization". Under groups, you can then click on "Security Groups". Select an existing one or press the "+" button at the bottom right to create a new one. 

You will then see the screen below: 

 

 When you have pressed the plus "+" sign you will get the following screen:

 

 Members (Users):
Here you can add the users who have access to this group.

Forms:
Here you can select forms where the users have the option to start new drafts for these forms. These forms will then appear under 'My Forms' for all these users.

Shared form documents:
Here you can select forms. The users in this group then have the option to view the documents of these forms at "My Documents" and then "Organization"

Note: Users only have the right to view the documents. Not to copy them to a new draft or delete them. They may only do this if they also have rights to manage documents and drafts.

Viewing shared documents

In the web application, users can view documents under 'My Documents'. If a user is a member of a security group where shared form documents are activated, an additional 'Organization' option is available under 'View'. This view allows access to all documents within the organization.

In the iOS application, documents can be found by clicking on 'Documents' in the menu at the bottom of the screen. If a user is a member of a security group where shared form documents are activated, a downward arrow appears at the top of the screen next to 'My Documents'. Clicking on this and switching to 'Organization' allows access to all documents within the organization.
