How do the attachment elements work?

How can you add files as attachments to your documents? Both by the user who fills out the form and by adding an attachment to your form, or in advance as part of the template.

An attachment element is useful to share additional information or supporting documents with users in the form of a JPG, JPEG, PNG or PDF file. 

The different attachment elements 

Add an element in the Form Builder by clicking the plus sign. You can then choose from two types of attachment elements: 'Attachment' and 'Static attachment'. 

An Attachment element offers the user of the form the opportunity to add attachments to the (draft) document. This is useful when you want to give the user of the form the option to add additional information. 

With the Static attachment element, the attachment is predetermined in the Form Builder and is included as standard attachment with every completed document. In other words: it can be viewed, not edited, when the form is filled out in draft mode. This is useful if you want the same attachment added to every completed document, such as general terms and conditions.

Label and Text 

You can provide an explanatory note using a 'Label' and 'Text'. This value will be shown to the user during the draft phase and in the final document.

Title and Description 

You can choose from 'User input' or 'Read-only text'. If you choose 'User input', the user can enter their own value for 'Title' and 'Description' when filling out the form in the draft phase. If you leave this field empty ('Default Value'), the entry field will be empty when creating a new draft. If you enter a pre-filled default value here, it will be filled in automatically when a new concept is created. The user can then adjust this default value. The 'Title' is the clickable text to the attachment in the draft and the document. In addition, the 'Title' will be placed on the title page (in the completed document) prior to the actual appendix (attached file). The specified 'Description' will only be visible on the title page. With the above settings, this element will look as follows: 

If you choose 'Read-only' text, the specified 'Title' and 'Environment' will be filled in by default in the draft and cannot be adjusted by the user of the form. An example:

The Static attachment element 

With the Static Attachment element, the attachment is chosen in the Form Builder and is included with every completed document. The attachment (or several) can only be viewed, not modified while completing a draft. 

Label and Text

File 

Select the attachment you want to add to the document. This can be a JPG, JPEG, PNG or PDF file. 

Title and Description 

Enter a 'Title' and 'Description' here. These values are always 'read-only text' and therefore cannot be adjusted by the user when in draft mode. Other than that, the functionality is the same as in an Attachment element: The 'Title' is the clickable link to the attachment in the concept and the document. In addition, the 'Title' will be placed on the title page (in the completed document) prior to the actual appendix (attached file). The specified 'Description' will only be visible on the title page.

Technical information

The following settings apply to both the 'Attachment' and the 'Static Attachment' element: 

  • Types of files allowed: JPG, JPEG, PNG & PDF 
  • Maximum size per file: 10 MB 
  • Maximum total amount/size of files: 50 MB 

To use the Attachment element, the organisation must have a 'Premium' licence.
